Vistasuite is the easiest way to use photos in business. We offer a centralized and simple way to use photos, videos and PDFs to streamline image workflow among teams and with clients.

Vistasuite is designed to help companies increase communication with images. This is done by improving the process of how images are used to increase operational efficiencies, reduce business risk, increase team collaboration and enhance client relationships.

Vistasuite makes it easy for businesses to privately share photos and videos to communicate work in progress, situations, displays, product development and finished products among others.

Vistasuite fits a unique space between text communication and file or photo storage systems. Many people simply attach image files in text communication providing a poor viewing experience and others upload images to basic storage which lacks a user friendly environment or collaboration.

+ How can I get the most use out of Vistasuite?

To attain the best value out of Vistasuite, Users may add as many Viewers to the account without incurring any additional costs. Further, Users may also activate QuickView and share images within a Space to as many people as you like.

+ Who are some of your current clients? What other companies are using Vistasuite?

We keep our client list private unless granted permission to use their name in our communication. Our client list includes companies and organizations in retail, construction, design, government, sports and consumer.

 
 

Account settings

+ How do I update my contact info in my profile?

Go to >Settings> within your account’s left hand navigation and click on >Edit Profile>. Here you can update your name, email and mobile number.

+ How do I change my password?

Go to >Settings> within your account’s left hand navigation and click on >Change Password>. Here you can update your password.

+ Do you offer push notifications?

Yes, be informed through opt-in notifications on your device, even when you are not viewing your Vista by going to >Settings> within your account’s left hand navigation and clicking on >Notifications>.

+ How do I change my credit card information?

Each Vista has a subscription plan assigned to it. Payment for this subscription may be easily changed by logging into Vistasuite as an Administrator of your Vista, and selecting the Manage Account button within settings of the Admin Panel.

After selecting Manage Account, you will be directed to Fusebill to access your billing account. Fusebill is a third-party integration that manages our auto-renewals and payment processing.

Having issues? If you do not see the Admin Panel in your left hand navigation, you either have not selected the proper Vista in your navigation, or you are not logged in as an Administrator.

+ Can I create a second Vista account?

Yes, a User account may be joined to multiple Vistas.

+ How do I revoke or change permissions?

Contact your Plan Administrator. Plan Administrators are the only ones who are able to change permissions and account settings.

+ What are the various "permissions" and the differences between them?

User roles are assigned as Administrator, Manager and Contributor.

Contributor - Contributor may add content including photos, videos and comments but can not create new Spaces. They may also edit and remove their own content.

Manager - In addition to Contributor permissions, a Manager may create new Spaces, add and remove Space Members. They may also remove other Space Member's content.

Administrator - In addition to Manager permissions, an Administrator may also add and remove licensed Members to and from the Vista.

 
 

Subscription

+ How do I cancel my subscription?

Each Vista has a subscription plan assigned to it. Your subscription plan may be easily changed by logging into Vistasuite as an Administrator of your Vista, and selecting the Submit a delete account request button within settings of the Admin Panel.

Having issues? If you do not see the Admin Panel in your left hand navigation, you either have not selected the proper Vista in your navigation, or you are not logged in as an Administrator.

+ How do I change my subscription plan?

Each Vista has a subscription plan assigned to it. Your subscription plan may be easily changed by logging into Vistasuite as an Administrator of your Vista, and selecting the Manage Account button within settings of the Admin Panel.

+ How can I receive a refund?

Vistasuite accounts are managed on a month-by-month basis. If you wish to cancel your subscription, your account will remain active for the remainder of the billing cycle. Partial refunds are not offered on monthly plans. Please contact us directly with any questions as we would like to best service your account when possible.

 
 

Payment Information

+ Do I need to provide my credit card information to try the free trial?

Yes, the first 30 days are free. You will need to pick the plan that suits your business needs, register, and we’ll create your platform and securely establish it in the Amazon Web Services cloud. You will not be billed during the 30 day trial. Billing will start at the end of your trial. You may cancel at any time.

+ Can I try it without providing my credit card information?

No, you will need to pick the plan that suits your business, register, and we’ll create your platform and securely establish it in the Amazon Web Services cloud. The first 30 days are free and you may cancel at any time.

+ What is the cost of Vistasuite?

For Admins

+ How can I add other people to a Vista?

You can add email addresses of people you would like to invite to your Vista account in the Admin Panel. As you add them, you’ll be able to set their permission level and add them to specific Spaces. We also make it easy with our batch email upload tool. Simply copy and paste your list of email addresses and we’ll add them to your Vista.

+ What if we need more than 50 licenses?

If your business requires over 50 Users, please provide your contact info and we’ll provide you with a customized quote.

To ensure a smooth setup, we’ll also provide a personal Account Manager to support your onboarding process.

 
 

Safety and security

+ How are my photos kept secure?

All files are securely stored on the Amazon Web Services cloud platform. All storage buckets are private and can be accessed only by Users that are explicitly granted access.

+ Where are my files being stored and what is the level of security?

All files uploaded are automatically and immediately stored in the Amazon Web Services cloud. All accounts are supported with automated backup schedules and retention management.

+ What happens to all of my files if I want to cancel my account?

We are able to provide a service to export all of your account assets. There is a cost for this service and price varies based on the amount of files and delivery method.

 
 

 Storage

+ How do I upgrade to get more storage?

You will need to update your subscription plan. Your subscription plan may be easily changed by logging into Vistasuite as an Administrator of your Vista, and selecting the Manage Account button within the Admin Panel.

+ How much storage do I have?

All plans come with a specific amount of secure storage based on the number of licenses. In general, each plan offers 5GB of data per User. Go to our Pricing Page to view each plan.

+ What is HEIF / HEVC?

Introduced with iOS 11, Apple created new, “High Efficiency” formats for their devices including iPhones and iPads. HEIF (High Efficiency Image File Format) was created for photos and HEVC (High Efficiency Video Coding) or H.265, was created for video. While both formats were developed to better optimize space on Apple products, they may not be viewable on older Apple products or other branded devices.

+ Are HEIF or HEVC files supported?

Since Vistasuite supports a number of platforms, we choose to not limit the viewing experience and adhere to a more standardized format. This means all HEIC/HEIF photos taken with the iPhone camera are converted to JPG file format prior to upload to a Vistasuite Space.

This conversion process may slow down the upload performance. In order to skip this conversion, when planning to upload larger amounts of files, Vistasuite recommends the user change their Apple product default setting to "Most Compatible" (Settings --> Camera --> Formats --> Most Compatible). With this setting, all photos are captured as a JPG and will not need to be converted. More info on these file formats may be found here.

+ Will there be new features added?

Desktop and mobile app

+ Are there any functions on Vistasuite that can only be used/accessed from the online platform and not available on the mobile app?

Yes, the Admin Panel is only available on the online platform. The mobile app may lag the webapp by a few weeks. However, we are working on a fully responsive design for our WebApp that will then provide all functionality of the WebApp on all devices.

+ How often are the Vistasuite apps updated?

For our WebApp, we are currently updating on a two-week cycle for bug fixes, small enhancements and new products updates. Our mobile apps are updated approximately every four to six weeks.

+ Is there a mobile app?

Yes, you can download the free Vistasuite app for Android or iOS in the Apple or Google Play app stores.

+ Is there a desktop version?

Yes. Access to the web-based Vistasuite platform is easily accessible on most web browsers including Chrome, IE/Edge, Safari and Firefox at Vistasuite.

 
 

Spaces

+ How do I create a Space?

Choose the New Space icon button in the top right-hand corner. Then name your Space and categorize by type and directory location.

+ How do I delete a Space?

Choose the Edit button from your Space and choose the Delete Space button.

+ How do I sort within a Space?

Arrange images by time captured, uploaded, by Contributor or file type using the sort by drop-down menu.

+ How do I add new Users to a Space?

While in a Space, choose the Edit Members button, check the box of the Member(s) you’d like to add, and save your changes.

+ How do I remove Members from a Space?

While in a Space, choose the Edit Members button and uncheck the box of the Member(s) you’d like to remove and save your changes.

+ How many Spaces can I create?

There is no limit on Spaces, so create as many as you like.

+ Who can see what I post or share in a Space?

Vistasuite is a private, closed network, therefore, only the people that are Members of the Space may view the content that is uploaded to that specific Space.

+ Can other Members load content to my Space?

If a Member is a Contributor or a Manager, they will automatically have permission to upload images to a Space. Viewers are not able to upload files to Spaces.

+ Can I share my Space with someone who doesn't have a Vistasuite account?

Yes, through a new feature called QuickView. QuickView allows the User to view a Space in a web interface. When activated, it will provide viewing access through a shared link.

+ How large of a file can I add in a Space?

The limit is 500MB for video uploads and the limit for a batch upload is 50 photos at one time. There is no file size limit for individual photo images.

+ How do I set up a directory within a Space?

Directories are created, managed and edited in the Admin Panel. User needs to have Administrator permissions to access.

+ How do I set a cover image for my Space?

Select the image you want from your Space. Choose the More Options button and Select as Cover Image from the drop-down menu.

+ Can everyone see my comments on an image?

Yes, all Viewers, Contributors and Users within a Space can view comments on an image.

+ How do I find a specific photo?

You can bookmark your favorite images for quick reference in the future. You can also search for images or comments by keyword or Member name in the search bar.

 
 

Your assets

+ Can I edit a photo or video on Vistasuite?

No. Users are currently not able to edit photos or videos in Vistasuite. We recommend using your favorite third-party apps for this.

+ Can I see how many people have viewed an individual photo or video?

No, you are not able to see how many people have viewed an image.

+ What's the maximum number of photos I can upload?

There is no limit to the number of photos you can upload.

 
 

Uploading and downloading

+ What types of media can I upload?

In the current version, you can upload photos and videos (up to 2 minutes). We plan to add more file formats in the next versions.

+ Can I download images from my Vista?

Yes, you can download images from your Vista directly to your computer or mobile device. Choose the image you’d like to download and use the Download button or use the More Options button to choose >Download Image> from the dropdown menu.

+ How do I upload an image?

Use the (+) button to choose an image to upload from your personal library or capture new images with your device’s camera.

+ Do my images lose quality once uploaded to Vistasuite?

No, images and videos are stored and viewable in the same quality and resolution of the original file uploaded.

+ What file formats can I upload?

In the current version, you can upload photos using JPG, TIF, PNG, and GIF and videos. We plan to add more file formats, including PDFs in the next versions.

 
 

Collaboration & Sharing

+ I want to share 10 photos with a client. How do I do that?

We recommend you upload those 10 photos to a new Space and then activate QuickView for that Space. Copy the QuickView link for that Space and share with your client.

+ How can I collaborate with my team on Vistasuite?

Vistasuite allows you to add and view comments to specific images providing direct feedback, reducing confusion and increasing collaboration amongst team members.

+ Is there a tutorial I can view to see the best way to utilize Vistasuite?

+ If I want to share my Spaces with future tenants, is there a limit to the number of times I can share images using Vistasuite?

No, there is no limit to the number of times you can share a Space within Vistasuite.

+ Is there an activity log where I can see how often the rest of my team is using Vistasuite?

Yes, you can view the in-app log to see Vista activity including comments and new visual contributions. From the desktop, you can choose >Activity Log> from settings.

+ Does Vistasuite provide notifications?

First, to receive any notifications, the user has to be registered in the main app as a "registered user".

Once a user is registered, Vistasuite provides two types of messaging.

The first is mobile push notifications. In order to receive these, the user has to download the mobile app on their device (phone or tablet), then log into the app with their user name and password. This allows us to push notifications to their device. Note, they don't have to use the mobile app, they can use the web app through the browser on their mobile device, they just have to log in the first time.

The second messaging we have is in the activity log. After logging into the web app on their device, we have an 'Activity Log' on the left side. They can click on this and see recent comments.

Both of these settings can be managed at the user level by clicking 'Settings' in the left navigation after logging in. Obviously if the messaging is turned off, they won't receive. Most settings are set to default on when a user first registers.

 
 

Glossary

+ What is a User?

A User is a person who has been added and given access to an account and may have various levels of permissions.

+ What is a Member?

Members are account Users who have access to a Space. Once given access to a Space, Members may view images or videos within the Space. Depending on the Member’s permission level as a User, they may be able to download, comment on or add additional image files to the Space.

+ What is a licensed User?

A licensed User may contribute, edit files and content. Each plan has a different number of licensed Users associated with it. See Pricing Page for details.

+ What is an Administrator?

Plan Administrators are able to manage Users, permissions and account settings.

+ What’s the difference between an Administrator and a User?

Administrator describes the level of permission a User has. Plan Administrators are Users who are able to manage other account Users, User permission levels, add additional Users and manage account settings. A User is a common term to define anyone who has been granted access to the account.

+ What is a Viewer?

A Viewer may only view content within Spaces they are added to as a Member. Viewers may not contribute or edit files and content. Each plan provides an unlimited number of Viewers.

+ What is a Contributor able to do?

A Contributor is able to view, upload images and videos, edit files and content within Spaces they are members of.

+ What is an Account Manager able to do?

An Account Manager is assigned to Enterprise plans (over 50 Users) for client support. An Account Manager is able to upload Users, manage Users, permissions and account settings on your behalf.

+ What is a Manager?

A Manager is a User who is able to create new Spaces, upload and download content, and add comments to images.

+ What is MasterView?

MasterView allows you to view all images, in all Spaces you are a Member of, in one single convenient, collective location.

+ What is QuickView?

QuickView allows the User to view a Space in a web interface. When activated, it will provide viewing access through a shared link.

+ How do I use QuickView?

To activate QuickView, a Space Member may navigate to the Space settings by clicking the Edit button at top left. Once in the settings screen, they may activate QuickView which will then automatically create a unique URL link. This link may then be shared with others that, when used, will open a user friendly interface to view the images that are in that Space.

+ What is a "Vista"?

A Vista is the view of your team's overall visual communication environment. It contains licensed Users and Viewers, Spaces, and more allowing various collaboration channels to be established.

A User account may be joined to multiple Vistas, with each one requiring its own subscription.

+ What is a "Space"?

A Space (or ‘board’) is your team's individual customizable location where licensed Users are invited to visually collaborate through media including photos, videos and more. Space Members can then comment, favorite or download media (if permission enabled).

Each Vista may have unlimited Spaces, each with its own set of Users accessing it. A User must be added to the Vista, before they can be assigned into Spaces.

+ What is "picture in picture?”

Picture in picture (PIP) is a special type of multi-window mode that allows the User to watch a video in a small window pinned to a corner of the screen while navigating between apps or browsing content on the main screen.
